2025 SUMMIT AGENDA
This year’s agenda has been carefully curated by our Advisory Board of AV experts and features a full day of expert-led panels, interactive workshops, roundtables, and live demos. You’ll also gain insights from real-world case studies presented by buyers, architects, and integrators, and leave with practical strategies to implement within your own organisation.
AGENDA
Quick Wins Wall: A gallery showcase of a variety of projects and case studies showcasing instant carbon-saving ideas, circular solutions and regulatory pointers. Designed to spark ideas and conversation throughout the day. Small steps, with big impact.
Opening notes from AV Magazine's Group Editor. An overview of the day's topics and what will be covered in the agenda.
Hear from a selection of experts across the supply chain discussing lifecycle strategies. Focussing on kit longevity, second life programmes and circular strategies; providing insight on how the industry can recycle and reuse end of life equipment. From a variety of perspectives, learn about case studies, innovative programmes and projects working towards closing the loop.
Accessed via the event app, Slido, and enter event code #1613433. Delegates will be asked to respond to a short quiz of common myths and assumptions on sustainability in AV. Designed to spark conversation, complete alongside other delegates over a coffee in the networking space. A Q&A session will recap on results later in the day.
Join a series of roundtable discussions, designed to spark collaboration and share practical ideas for sustainable change in AV. Four sessions will be held in the networking area (Westminster) and four in the conference space (St James), in a standing format at poseur table stations with a facilitator guiding the discussion.
Delegates are invited to join any discussion where the facilitator will capture key points and recommendations, which will later be shared in the theatre during a short wrap-up session. Once a session is full, delegates may be asked to join other discussions to keep an equal balance of delegates. Look out for our facilitators with the below topic signs!
- Circular Economy – Explore how AV products can be reused, refurbished, or repurposed to extend their lifecycle and reduce waste. Facilitator: Andy Land
- Sustainable Procurement – Discuss how buying decisions and supply-chain partnerships can drive measurable environmental improvement. Facilitator:
- Regulation Readiness – Understand how upcoming UK and EU sustainability regulations will impact AV manufacturing and deployment. Facilitator: Kelly Bousman
- Cultural Change – Examine how leadership, training, and company culture can embed sustainability into everyday business practices. Facilitator: Anna Bateman
- Designing for Demand - Managing buyer expectations and aligning with end user demands. Facilitator: Deborah Jones
- Futureproofing & Software Obsolescence - Modular upgrades and designing kit for longevity, look at how this can align with commercial goals. Facilitator: Aneta Armova-Levin
- Pathways to ISO 14001 Certification - A practical discussion on how AV organisations can achieve (or maintain) ISO 14001 certification, covering environmental management systems (EMS), documentation, audits, resource requirements, and real-world implementation challenges. Facilitator: Roland Hemming
- End-of-Life & Responsible Recycling - A practical discussion on managing AV products at the end of their lifecycle: WEEE compliance, responsible recycling, secure device disposal, and preventing e-waste export. Facilitator: Martyn Burton
An update from DEFRA, the UK governments Department for Environment, Food and Rural Affairs. This presentation will provide a snapshot into UK government perspective on circular economy and how this transition of focus is central to WEEE environmental strategy. Hear about the WEEE Regulations and Producer Compliance Scheme (PCS).
Following on from the UK government’s update from DEFRA, hear how the focus on circularity will impact the AV sector. Hear how global regulation differs and what upcoming changes mean for businesses with UK operations. Learn about funding and incentive opportunities, understand what is available to apply for and how consultancies can support this.
This session offers a unique, behind-the-scenes look at the newly completed Stephen A. Schwarzman Centre for the Humanities at the University of Oxford; one of the most significant cultural and academic buildings to open in the UK in recent years. Designed by Hopkins Architects, engineered for performance and sustainability by Max Fordham, and integrated with advanced audiovisual systems by Hewshott, the project sets a new benchmark for how world-class architecture and low-impact AV can coexist.
Bringing together the project team, this panel will explore how sustainability was embedded into the project from the earliest design stages through to specification, construction, commissioning, and operation. The discussion will uncover the real challenges faced when balancing architectural ambition, technical performance, energy efficiency and long-term lifecycle considerations.
Delegates will gain rare insight into the collaboration between disciplines, the decision-making processes that shaped the building’s environmental footprint, and the innovative solutions used to create flexible, future-ready learning, research and performance spaces. This is an unmissable deep dive into how truly sustainable AV design can be achieved on a major capital project, and what lessons the wider industry can take forward.
Hear from end users across key sectors in education, venue and enterprise. Discussion on procurement, how wider sustainability organisation policy contributes to tenders and refresh strategies (‘evergreen’ vs ‘asset-sweating’). Learn what buyers want and how to deliver, a view of the future in eco-friendly production.
Two informative presentations will provide a framework and masterclass to equip delegates with a practical understanding of how to measure and manage their organisation’s carbon footprint. These sessions explain the difference between direct, energy-related and supply chain emissions, and guide participants through proven methodologies for calculating and reporting impact.
Participants pitch strategy from their company; hear from leading manufacturers and integrators on their missions and success. Audience votes for most actionable ideas via event app.
As sustainability becomes a defining challenge for the AV industry, collaboration across every stage of the supply chain is essential. This closing panel will bring together manufacturers, distributors, integrators, consultants, and end users to explore how the sector can work collectively to accelerate progress towards a smarter, greener future.
The discussion will focus on shared metrics, procurement frameworks, and the cultural alignment needed to embed sustainability throughout product design, distribution, installation, and operation. Panellists will examine where accountability lies, how data can support transparent reporting, and what practical steps organisations can take to reduce environmental impact while maintaining commercial viability.
Summarise takeaways from the day’s sessions, review key takeaways from roundtables and workshops, focus on collaboration follow up and access to resources.
Don’t miss this opportunity to engage with breakthrough thinking as we work together towards a smarter, greener future for AV!
